Most coaches don’t burn out because of content. They burn out because of clunky, chaotic workflows, trying to duct-tape too many tools together just to stay visible. Sound familiar? If you’ve ever thought,“I’m doing the work… why does it still feel so hard?” This post is your reset.

What Is a Tech Stack (And Why Should Coaches Care)?

Your tech stack = the set of tools that supports your coaching and marketing workflow. Used well, it’s a support system , making content creation, lead nurturing, and client communication smoother and simpler. Used poorly, it’s a momentum killer.

A bloated tech stack doesn’t make you more professional. It makes everything harder to sustain. You don’t need 12 apps. You need a lean, strategic set of tools that map to the actual way you coach and market.

The Two Sides of Your Coaching Tech Stack

Let’s break it down:

1. Coaching + Client Experience

This is where you deliver the service.

Recommended: CoachRx
It handles:

  • Programming + assessments

  • Client profiles

  • Communication and feedback

  • Payments

  • Progress tracking

And bonus, it supports content capture, too.

You can use Loom inside CoachRx to document wins, record messages, and build your content library as you coach.

2. Marketing + Lead Flow Support

This is what supports your 5-part marketing system, from content to consult.

You need tools that help you:

  • Capture ideas

  • Create and schedule content

  • Collect and nurture leads

  • Track conversations

  • Book consults

  • Automate follow-ups

Your Lean, Coach-Friendly Marketing Tech Stack

Here’s the setup I recommend:

Idea Capture

  • Notes app, Notion, or Google Docs

  • Use one central hub so nothing gets lost

Content Creation

  • Loom (integrated in CoachRx) record while you coach

  • Canva or graphics, PDFs, carousels, even reels

  • Descript or Riverside for podcast or video editing

Publishing + Scheduling

  • Later for scheduling posts

  • Beehiiv or ConvertKit for email

Lead Capture + Follow-up

  • A website form on Squarespace, Leadpages or other simple site tools

  • Typeform, Google Forms, or Tally for custom lead capture

  • ConvertKit or Beehiiv also have forms and landing pages

The Point Isn’t More Tech, It’s Less Friction

You don’t need to become a tech expert. But you do need a system that supports you. Your tech stack should reduce decision fatigue, not increase it.

Here’s your filter:

  • Does this tool help me do something faster or more consistently?

  • Does it integrate with how I already work?

  • Does it reduce manual tasks or confusion?

If not, it’s noise. Cut it.

Map It to Your Weekly Rhythm

Use your tools to support your system:

  • Content Capture = daily (while you coach)

  • Batch Day = once/week to plan, write, and schedule

  • Distribution Block = schedule & send (30–60 min/week)

  • Daily Micro-Rituals = 10–15 min to check analytics, new contacts, DMs, and reply

TL;DR: Your Stack Should Work While You Coach

Tech isn’t the solution but the right stack can create space for your actual strengths:
→ Coaching
→ Connecting
→ Creating

So if your marketing feels clunky? Start here. Streamline your stack. And let your tools work with you, not against you.
